The Rockefeller University's Child and Family Center (CFC) is centrally located on our beautiful 14-acre campus. The CFC offers childcare and education to families affiliated with the University. Our families reflect the multicultural dimension of science, and come from all over the world to study and work at Rockefeller. We have as many as 26 different languages represented in our diverse student body. Our teaching staff is also multinational and many of our teachers are bi-lingual.
Reporting to the Director of the Child and Family Center, the Administrator will support all aspects of daily operations at the CFC and foster a warm and welcoming environment for staff members and families. Responsibilities will include maintaining current files, auditing center records, and ensuring all paperwork follows New York City and New York State regulatory agency requirements (e.g. Department of Health and Mental Hygiene); effectively communicating the educational mission, philosophy, and policies of the CFC to the community (teachers, parents, and children); and handling all databases, excel spreadsheets for tracking, presentations, and any analytical requirements related to the daily status of children, parents, teachers, and the budget, with an extra focus on detail during this critical time related to medical records and regular COVID testing. Will provide administrative support and reception for the CFC including greeting all visitors, answering calls and emails, data entry, interfacing with the HR department, gathering data for reports for Finance and HR, creating and maintaining school documents such as class directories, allergy lists, and phone lists, and ordering supplies. The Administrator will assist in preparing budgets and annual reports and collecting, filing, and keeping track of all center applications, statuses, and medical records. Will prepare marketing materials, packets, and handbooks when necessary, assist in school admissions procedures, update office policies and ensure compliance, interface with the Finance department regarding tuition and financial documents, ensure the school website is up to date at all times, communicate with families regularly, and assist with new projects and additional tasks as needed. Bachelor's degree in business or related field required. A minimum of three years of administrative experience required; experience in a school setting and knowledge of admissions processes preferred. Interest in graphic design a plus. Must be computer proficient and skilled in MS Office, including data entry, spreadsheets, data organization, and pivot tables in Excel. Excellent written and oral communication, organization, time management, interpersonal skills, telephone manner, and the ability to multitask required. Must have strong attention to detail, the ability to problem-solve, work independently, and a high degree of professionalism. Knowledge of a childcare setting, a sense of humor, and great flexibility while dealing with children and families required. Must have the ability to develop relationships with children, parents, and colleagues.
