The Finance Department of the University encompasses the Controller's Office and the Office of Budget, Treasury and Research Administration. These offices are dedicated to ensuring the integrity of data submitted, recorded and reported and to providing the highest level of financial services in support of the University's mission in Biomedical Research.
Reporting directly to the Assistant Director of Accounts Payable, the Manager of Accounts Payable will oversee four staff members, including a team of three Accounts Payable Analysts, and provide training and set goals. The Manager of Accounts Payable will work directly with the Department head to transform the Accounts Payable function by incorporating new processes & identifying areas for automation. Responsibilities include maintaining professional and consistent communications with laboratories, departments, and external vendors to ensure timely resolution of price/receiving issues, invoice approvals, and additional billing and payment issues, especially capital projects. This position will work closely with the Purchasing Department, vendors, and end-users to resolve any problems, so payments are made promptly. Will also work with the Treasury Department to set up ACH payment processes, ensuring all the paperwork is obtained from the vendor and checked before forwarding it to the Treasury Manager and following up with the vendor to receive the first payment. The Accounts Payable Manager will process accounts payable-related journal entries (variance, cost transfer, and accruals) and coordinate daily activities and delegation of work and payment processing. Will reconcile monthly statements from vendors, researching and correcting discrepancies, and respond to vendor inquiries.
Bachelor's degree and a minimum of seven years of experience with payroll work and three years of experience managing staff required. Must be detail and deadline-oriented, have strong follow-up skills, work well under pressure, and have excellent customer service skills. Experience with Oracle Labor Distribution and an understanding of Oracle Payroll System (Version R12) required. Must have experience with the taxation of employees on visas working in the US and experience working with ADP. Must have the ability to use analysis to resolve complex accounting issues, work effectively with senior-level staff, and manage and lead the team to excellent performance. Excellent oral and written communication skills and strong organization and time management skills necessary.
